Give a reference file a useful name

Use the detail you will search for later: a merchant and month, a device model, a project name or a document type. Prefer a collection you understand to a pile of nearly identical screenshots. Keep sensitive details out of names you use in a source app or export destination.

Vaultary encrypts names and the library index along with the file contents. Search, type filters and collection browsing make the private library useful after it is unlocked.

Choose a photo, a document or a note

Pick the right form for the reference
What you haveHow to keep it useful
A receipt or label photographImport the image, inspect the text at full size and use a descriptive name.
A multipage documentCheck that every page remains readable with a compatible viewer.
A short piece of private textCreate an encrypted Vaultary note and explicitly save your edits.

Make the source-copy decision separately

Check the imported copy before removing an original from Photos or Files. If iCloud Photos is enabled, changes in Photos can synchronize across your Apple devices. Decide deliberately which readable copies you need and which should remain outside the private library.

Explore document and note storage and follow a document through its different copies. A vault protects its own stored copy; the same letter in email or a shared folder has a separate access path.

Build a habit you can repeat

  • Import a small batch.
  • Check that the contents are readable.
  • Name and collect the files.
  • Keep an encrypted recovery archive current.
  • Review source and exported copies deliberately.
